@Erika Anderson - CCO Here's the text I uploaded: 00:01 In this video, I'm going to be walking you through Asana's newest feature, bundles. They've just released this feature probably about a week ago at the time.

00:10 It is June 9th, 2023 and I'm going to walk you through exactly what bundles are and how you can use them.

00:16 And I will say before I go any further, bundles are currently only available on the enterprise. Plan. If you are on the free premium or even business level plan of Asana, you will not have access to this feature.

00:29 And so if you have been thinking about moving to enterprise or currently on the enterprise level plan, this is for you and it may help you in making the decision to move to enterprise.

00:38 So let's get into it first talking about what bundles are. Bundles are a way where you can group all of the like activities and templates within a project and use them across many projects inside of Asana.

00:52 So we already have project templates, right? We're very familiar with project templates. If I were to save this as a template.

01:00 We can pull this up and use this for any related client projects or any type of internal work. Where bundles differ is now you can save the actions or rules and automations within Asana, the sections, the custom fields.

01:17 And all other related task templates, apps, forms, all within, you guessed it, a bundle. And so if I am to click on bundle under the customize option, you'll now see that you can create a bundle.

01:33 You can create a bundle. Scratch where you can have all of your different sections here. So if you have standard sections that you use in this example today, I'm going to be using a client, you know, delivery example.

01:48 And so that's going to include some intake requests from the client, some to do and in progress stages for your team, a client review stage.

01:55 And then a done or launch stage. And so you would add in your sections here to do add another section for in progress.

02:05 And you can basically build out like you would in the workflow builder. And as you notice, the background is very similar to what we've become used to in the workflow.

02:14 So they're helping us build projects faster, build templates faster and improve our workflow a lot faster. So we can now pull in our different sections.

02:24 We can add custom fields. Right, whatever we want to this bundle. I'm just going to pull. Learn some random ones here.

02:33 We can add rules make it really, really simple. I'll just add a couple examples for us here. We can create a rule, we can add it here and then we can even create task templates.

02:48 Just like so and pull them in here. And now we can go continue and it's going to prompt us to add it to a project.

02:55 Now I'm going to show you a use case so that this really clicks for you. But the problem we've had up until this point is that you create your project template.

03:04 It has all of your rules. It has all of your sections, all of your forms. And the question I get asked a lot is, how can I have it so that I create one form in a project and have access to that form on future projects or many projects or even my existing projects?

03:23 And the answer up until now was, well, you have to recreate. That form. You do not have to do that anymore.

03:31 So I'm going to back out of this. I'm not going to add 20 projects yet. What I have here is a prime example of how this can be used and is if, as you're watching youth can think of any other use cases, I would love to hear them because we're all still.

03:45 Learning how to effectively use this tool, but I have a client project here. It's got my intake requests and I have a form set up.

03:54 I've got three rules, six fields added, and then two tasks templates. So I have a blog task template and an email task template.

04:04 And so we're going to go through it. As you can see, some of them don't have any rules or anything like that.

04:08 So what I'm going to do is I'm going to just finish that up. I'm going to go and create a rule that when a task moves to in progress, it's going to change.

04:17 Field that I've calling bundle status to in progress like so. And so I'm going to do the same thing with client review.

04:26 I'm going to add the action, change the bundle, bundle status to client review, create that rule. And then I'm going to do the same.

04:33 The same thing with prepare to launch and to change the bundle status to prepare to launch. Great. So I'm working through this.

04:42 My client's very happy. I'm assigning work to my team. Everything's going great, but we have an internal process improvement. To meeting something needs to be fixed and changed.

04:53 And now we want to, you know, add a new section and, you know, a new rule. So let's do that.

05:00 So I'm going to add a step in here that just a client review. We're going to have an internal review.

05:12 Like so perfect. So, and on the internal review, we're now going to have to add a new status here. Now this is not new because as you know, change the fields that's applied to a project in the library.

05:25 It changes it globally. And so this is not new, but this next stage is going to be, and so I'm going to add, another rule here that's again, when it moves to this stage, we're going to change it to internal review.

05:40 Now, the problem is that I have all these other existing client projects. So when I go into client two, I have, you know, an in progress section.

05:49 There is no internal review section. There are no rules, as you can see applied to these three sections, like I have in my, my current working client project.

05:59 The same is true for client number three and client number four. So in the past, yeah, we couldn't just simply go and update the template because it wouldn't apply here, right?

06:10 We'd have to create create a new project, port all the tasks over by multi homing them and then deleting the original project.

06:17 But now we can simply create a bundle and then apply that bundle. So within customize, I'm going to scroll down, go to bundle and we're going to generate bundle from project.

06:28 It's going to automatically pull in all of the sections that we already have in this project. We have our internal review.

06:33 There it is. We have all of the fields that we have added, all of the rules that we've added, including the new internal review.

06:41 And then we have our task templates. But what if we. We wanted to add a new task template because now we're not just delivering blogs and emails.

06:49 Now we are delivering I don't know, social social media posts for our clients. And this is maybe not how we would do it, but let's go with the example for a minute, social media post title.

07:05 So we have all our information in here, collaborators, and so on. We're going to add that here so we can make changes on the fly as well.

07:13 And we're going to continue. Now it's going to ask us where we want to apply this bundle. So we obviously want to align and sync all of our different client projects.

07:22 So that includes client two, three, and four, we're going to go add to project. We'll apply it to client two, right?

07:29 We're going to add this right here. We're going to do client three and then we're going to add it. To client four as well.

07:35 And then we're going to apply our changes and it's saying this will make changes to three projects and they'll all be updated.

07:41 Yes, I want to do that. And a SANA is working its magic. Now let's go over and let's check and see what's going on.

07:49 So let's go to client two. Now we can see that client two now has the internal review. Rules have been updated.

07:56 Let's go see if our our task template has also been updated. So we have five tasks templates here. There we go.

08:05 And it's actually duplicated some of these. So when I was preparing for this demo, and this is a really good example of what can happen.

08:13 Okay. What this will do is it will add to the existing fields that you have within your project. So you really want to be careful when you're doing this, because as we can see, we have a client request.

08:26 We have that twice. So what I'm going to do in this case is I'm going to go back and I'm going I'm going to remove the the bundle that I've now created.

08:36 And so I'm going to remove this from the project because we can go back on. On it. It's like so, and it's going to backtrack right here.

08:47 And so again, it's reverted to exactly what we had before. Okay. It's got our, our basics. We're back to the basics.

08:54 So let's right. We have our to do in progress, internal review. And now we are back again to exactly where we started, except now it's removed all of our custom fields that we had there before.

09:09 So that is one thing that we will note. So when creating these, bundles, it's really important to do this. So now I'm actually going to go in and I'm going to edit that bundle because we don't need to pull absolutely everything over.

09:20 Right. That wouldn't really make any sense. So I'm going to go in and I'm going to go in and edit my bundle here.

09:27 So I have this bundle. I'm going to go go edit this because we already have our client requests pulled over.

09:34 So I'm going to delete that section from this bundle. Right? Go like this. And the only thing that we would, needed to have pulled over was the new internal review because that was the new new new change that we made.

09:47 So again, depending on use cases, this will look significantly different. I'm going to pull over those fields because as we just saw from the previous example, I removed the entire bundle that was sent over.

09:59 And then these rules here. I'm actually going to just go in and edit them as it says the rule no longer exists.

10:07 Exists. Okay. So be and we, and it won't need to exist because we don't have that section there, but what will exist is the prepare for launch and the internal one.

10:19 So let's just go in. I'm going to delete this rule from the bundle. Because we only want to copy over the things that we have updated, right?

10:28 So we can bring all of our statuses to the same thing. And then our task templates. The only new task template was the social media task template.

10:38 I'm going to delete that one there. There we go. So now let's remove it from number. Four. Yes. So we're going to remove it from number three.

10:52 Great. So now I'm going to go in. And I'm going to add it to my projects again. So again, just make sure that you're only copying over those things that you want to update or else it will duplicate and add till you already had there.

11:06 So let's add it to number two. Let's go and add it to number three and then I'll add it to number four.

11:11 Or we'll apply those changes once again and we'll close it out. Her. Perfect. So let's go and we'll take a look now.

11:22 There we go. So now we have all of our fields added in. It's moved internal review to the top. So let's just put that in line here and let's move it down to the in progress above in progress.

11:35 Sorry. Or needed to go there. There we go. And let's go in. We'll swap out our prepare to launch cause that one also came over and then we'll change our done section.

11:47 I'll show just delete that one. We can just delete that section. So as you can see, any bundled pieces that you do bring over have to be updated from the bundle itself.

12:06 You cannot edit them directly in here. And so, so it takes a bit of configuration once you get things going, but again, this will save you so much time because you're not needing to recreate this over and over and over again.
